Headset on and booking screen open, a reservation agent can field a weekend room request, a wedding block and a cancellation within the same half hour. Reservation agents sit in call centers and reservation offices for hotels, resorts, airlines and conference centers, quoting rates, entering guest details and selling upgrades or packages. Every date has to be right.

Reservation Agent Duties and Responsibilities

The primary responsibilities of a reservation agent include:

  • Answer reservation calls, emails and chat requests and book rooms, tickets or rentals.
  • Quote rates, availability and cancellation policies accurately for each date requested.
  • Enter guest details, special requests and payment guarantees in the reservation system.
  • Modify and cancel bookings and apply the correct fees or refunds.
  • Suggest upgrades, packages and add-ons that suit the caller's plans.
  • Set up group blocks and track how many rooms are booked for weddings, tours and conferences.
  • Check daily arrival lists for errors, duplicates and missing guarantees.
  • Resolve booking problems passed on by the front desk or online travel sites.
  • Record call notes and follow company scripts for payment card security.
  • Meet targets for call handling time, conversion and customer satisfaction.

Required Skills and Qualifications

To succeed as a reservation agent, you will need the following skills and qualifications:

  • Reservation systems such as Oracle Opera or Sabre
  • Fast, accurate typing and data entry
  • A clear, friendly phone manner
  • Sales skills for upgrades and packages
  • Knowledge of rates, fees and cancellation rules

Education and Training

Although a high school diploma is usually enough, hotels and travel companies like agents who have already handled customers in retail or call centers. Training is mostly on the job. Agents who master the system and sell well tend to move up to lead agent, group coordinator or reservations manager.

Employment of reservation and transportation ticket agents and travel clerks should grow about 2.5 percent from 2025 to 2035, according to BLS projections.
