County Secretary Duties
SUMMARY
This is secretarial work of limited complexity performing a variety
of general office tasks in a Cooperative Extension Service district
office, which offers educational programs, information, and training
to Georgia citizens.
Work involves the performance of routine office duties which follow
prescribed procedures and which may involve judgement based on
knowledge gained through experience. Work is performed under the
general supervision of an administrative superior.
DUTIES AND RESPONSIBILITIES
Assists Cooperative Extension Service district office personnel by
greeting individuals calling in person or by telephone; refers
caller to proper persons; gives out information and maintains
appointment schedules.
Operates office computer and types correspondence, newsletters,
manuscripts, articles, administrative reports, special events flyers
and programs.
Receives, reads and routes mail; may compose routine correspondence.
Maintains files for office records, forms, and educational and
training materials; conducts inventory and orders office supplies
and training materials.
Gathers data from files and other office records and prepares
reports of a routine nature; makes basic mathematical calculations
and tabulations; prepares forms and routine letters relative to
information contained in files.
Calculates, types, posts, and balances standard financial
statements, reports, vouchers, requisitions, check requests, journal
sheets, inventories, or expense accounts from standard sources
making routine arithmetic computations and checks for accuracy.
Operates various office equipment such as personal computers,
photocopiers, fax machines and calculators.
Performs related work as required.
EDUCATION AND EXPERIENCE
Graduation from a standard high school, including some courses in
general business, typing and basic computer operations, supplemented
by some secretarial experience; or any equivalent combination of
training and experience.
KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of business English, spelling, punctuation and arithmetic.
Knowledge of contemporary office equipment, procedures and
practices.
Ability to make routine arithmetical computations and tabulations
accurately.
Ability to meet, develop, and maintain effective working
relationships with county, district and state personnel, local
government officials and employees, and clientele.
Skill in the operation of contemporary office equipment. |
