Administrative Assistant Duties
SUMMARY
This is an entry-level job in a group of five progressively higher
administrative/support jobs.
It is generally applicable to individuals in the entry or training
phase.
This classification performs basic clerical functions requiring the
ability to follow simple verbal and/or written instructions. There
is less variety, more volume in the work of this classification. It
is performed under direct supervision and requires minimal
decision-making. Work is usually checked for accuracy and questions
are referred to the supervisor.
DUTIES AND RESPONSIBILITIES
Prepares letters, reports, records, and forms from rough drafts and
corrected copies.
Screens and distributes incoming correspondence; transmits
information; schedules meetings and arranges appointments.
Answers telephone and greets visitors giving general information in
response to inquiries; delivers oral and written messages.
Performs input of received data into a computerized system.
Monitors supplies and initiates requisitions to replenish; submits
to supervisor for approval.
Records and tracks account expenditures via computer or manually.
Performs other related duties as assigned.
EDUCATION AND EXPERIENCE
Depending on departmental requirements, high school diploma or
equivalent may be required.
KNOWLEDGE, SKILLS AND ABILITIES
Basic keyboarding/computer skills.
Basic language, spelling, communication, and arithmetic skills.
A typing test may be required by department.
